Central Price Book

The Price Book is the single catalog for sellable services, products, materials, equipment, discounts, and saved items. Open More Tools > Price Book or Settings > Price Book.

Use it to control what an estimator can add, what the customer sees, and which inventory materials a sold item reserves.

Catalog views

• Items & products shows the searchable catalog with thumbnail, description,

customer price, unit cost, type, category, module availability, inventory package, and tax status.

• Categories groups items without restricting where they can be used.
• Inventory bundles shows only sellable items with a material recipe.

Category and module availability are different settings. A House Wash item can belong to the Exterior Cleaning category and appear in both Residential and Commercial. A C9 Roof/Gutter item can belong to Holiday Lighting and appear in Holiday Lights without appearing in Fleet.

Add or edit an item

1. Select New item, or open an existing row.
2. Add a customer-facing name, description, and optional thumbnail.
3. Set its category, item type, unit, customer price, unit cost, and tax status.
4. Choose where the item is available: Residential, Commercial, Fleet, Holiday

Lights, or Asphalt Maintenance.

1. Keep Enabled and Show in price book on when estimators should be able

to select it.

1. Select Save item.

Generic Quote can select every enabled visible item, regardless of the module checkboxes. Specialized builders show only the items assigned to their module.

Archiving removes an item from future selection. Existing estimates and jobs keep the name, description, quantity, and price that were saved with them.

Build an inventory package

An inventory package connects one sellable line item to the materials needed to perform it. Set Recipe based on to the quoted quantity represented by the recipe, then add each inventory component.

For example, a C9 Roof/Gutter recipe based on 100 linear feet might contain:

Choose Scale with quote for materials that grow or shrink with the quoted quantity. Choose Fixed per job for a component that is needed once per job. An optional waste percentage rounds the reserved quantity up.

When a customer accepts an estimate and it becomes a job, Clean Estimate Pro reserves the package materials. Completing or invoicing the job consumes them; cancelling the job releases the reservation.

Price Book versus Inventory

The Price Book answers, “What do we sell, where can we sell it, and what does it cost the customer?” Inventory answers, “What physical stock do we have?”

Create bulbs, clips, wire, plugs, chemicals, and other physical supplies in Operations > Inventory. Then attach those stock records to a sellable Price Book item as an inventory package.
