Fusion Mobile Workspace
Use the six-tab mobile workspace, role dashboards, shared schedule, compact CRM records, More tools, and native Generic Quote builder.
Fusion Mobile Workspace
The Fusion mobile workspace uses the same compact visual system and six primary destinations for office, sales, and field users. The information inside each screen changes with the signed-in role and workspace permissions.
Six-Tab Navigation
| Tab | Purpose |
|---|---|
| Home | Role-specific agenda, follow-ups, performance, and work requiring attention |
| Schedule | Day or week calendar for leads, jobs, follow-ups, trucks, and assigned team members |
| Create | Start a client, lead, estimate, job, invoice, task, or event from one launcher |
| Inbox | Compact customer conversations with engagement activity and call/text actions |
| Phone | Company calling, callbacks, voicemail, call scores, transcripts, and coaching |
| More | Business records, recurring plans, operations, analytics, team, and settings allowed for the role |
The blue Create action stays in the center of the tab bar. A detail page can open another record without changing the six-tab order. Back returns to the record or list that opened the detail.
Scrollable More workspaces reserve enough space below their final controls for the persistent tab bar and raised Create button. The last analytics report, recurring-plan link, or administrative tile remains fully visible and tappable instead of sliding underneath the launcher.
Canvassing, Pipeline, Clients, Leads, Estimates, Jobs, Invoices, and recurring plans remain reachable from More when the signed-in role has permission. This visibility follows the effective backend permissions, including custom record access granted to a crew lead or technician; role labels do not impose a second hard-coded block. Every destination in the approved mobile workspace catalog now reads live, organization- and role-scoped data. Catalog screens remain read-only unless a separate production-safe mobile action is documented. Empty or failed requests show an honest state instead of preview records, sample metrics, or simulated save controls.
Create a task or event
Open Create > Task / Event to add a follow-up without leaving the mobile app. Enter a title, then choose Call, Email, Meeting, Deadline, or Todo and set a low, medium, or high priority. You can assign the item to yourself or another available teammate, associate a customer, choose the due date and time, and add notes.
Select Create task to add it to the assigned teammate's agenda. Task/Event creation is available only when the signed-in role and backend permissions allow it; a disabled launcher does not grant access to office records.
Role Dashboards
Every role uses the same period control where a time comparison applies: Today, Week, Month, Quarter, and Year. Changing the period updates all compatible dashboard cards together.
The phone UI follows the individually approved Clean Estimate Pro screen designs: white work surfaces, compact bordered cards, blue primary controls, and the persistent six-tab bar. The legacy field-operations canvas and older preview layouts are not used by these production screens.
Owner and manager Home
Owners and managers can review:
- appointments and jobs for the selected period;
- lead close rate and close rate by lead type;
- pipeline created during the same period;
- salesperson and crew performance;
- daily or period revenue; and
- a hot follow-up list that opens the related lead or estimate.
The owner view can see the full workspace. A manager sees the same layout with the records and financial information allowed by their permissions. When the selected period has scheduled work, the blue summary surfaces the next appointment or job inside a separate tappable white card. The card keeps the time and service, customer, complete address, chevron, and View job, View estimate, or View lead action visually distinct from the blue summary. An empty period uses the compact blue metric summary instead; only the Agenda section displays the empty-state explanation.
Appointment rows are grouped by their scheduled appointment date, not the date the lead or estimate was created. Period boundaries use the organization's configured IANA timezone, including daylight-saving changes. When a converted lead and its linked estimate describe the same appointment time, Home shows one appointment; distinct appointment times and unlinked appointments remain separate.
The Needs attention section adds a tappable schedule conflict whenever two timed agenda records overlap on the same day. The Home Inbox bell shows an unread dot when at least one loaded conversation needs a response and opens the Inbox when selected.
Sales Home
Sales representatives see today's agenda first, followed by hot follow-ups. The remaining cards show assigned leads and appointments, call/email/text tasks, personal pipeline, and performance for the selected period.
Hot follow-ups include new leads, customers who viewed an estimate more than once, and estimates that still need attention within the first 24 hours. Tap a row to open the real lead, estimate, conversation, or task.
Technician and crew Home
Technicians and crew leads see today's assigned jobs first. A job name opens the job page, where the crew can review scope, sales notes, alerts, checklists, photos, and completion requirements. Route details remain on Schedule.
Commission or performance-pay totals appear only when that pay method is enabled for the signed-in worker. Organization sales data and private pricing do not appear on technician accounts.
Schedule and Calendar
The schedule uses standard home-service calendar behavior:
- Purple represents leads and estimate appointments.
- Blue represents scheduled jobs.
- Yellow represents normal-priority follow-up tasks.
- Orange represents high-priority follow-up tasks.
Use the filter bar to change:
- truck;
- technician or salesperson;
- lead, job, follow-up, or event type;
- day or week view; and
- the selected date from the month picker.
The calendar icon opens the month picker without taking permanent space from the day schedule. Owners see scheduled revenue in the selected-period summary and on each day header in Week view. Day and Week are time-positioned calendars: open hours remain visible between appointments instead of collapsing into a simple list. Both views include hour guides, and the current day shows a current-time line. Week keeps Monday through Friday visible together on a standard 412-pixel phone canvas, then scrolls horizontally to the weekend. When you switch from Day to Week, the resolved day stays visible while the larger range loads, preventing a temporary $0 or No work result before the real weekly revenue and work arrive.
Day uses a larger time rail with the approved purple and blue cards immediately visible. Untimed follow-ups appear first as one compact yellow summary, or an orange summary when any item is high priority. Activate the summary to expand every follow-up card; activate it again to collapse the list without removing or changing any task. The filter button opens one bottom sheet for truck, team member, type, the color legend, reset, and apply actions.
Owners can view the entire schedule and daily revenue. Other users open on their assigned work for the day. A worker assigned to a truck follows that truck's scheduled jobs. For example, if two technicians are assigned to Truck 1 and Truck 1 is assigned to three jobs, both technicians see those three jobs. Each truck starts and records its work independently on a multi-truck job.
Tap an appointment or job to open its record. The calendar is the route view; Home does not duplicate a route map.
A route contains only physical work: jobs and onsite lead or estimate appointments. Phone calls, text follow-ups, virtual appointments, and other non-travel tasks remain on the calendar but never become navigation stops. A physical stop is route-ready only when it has a usable service address or saved coordinates. The route card reports physical and ready counts and uses a plain-language preview; it does not draw a simulated map when live map data is not available.
Sales users can call, text, or open directions directly from an assigned Day card. Technician job cards show the full service address and identify whether travel details can open in Maps; a missing location is labeled clearly instead of displaying an estimated distance or drive time.
Compact CRM and Work Records
Lists use thin cards so more real work remains visible without removing important context.
| Record | Information kept on the compact card |
|---|---|
| Client | Name, contact context, address or city, latest activity, and quick actions |
| Lead | Lead number, name, full street context and city, stage, assignment, value, and next action |
| Estimate | Estimate number and current status in the header band, customer, estimate type, full address, amount, engagement, representative, and next action |
| Job | Job number, customer, address, scheduled time, truck or crew, status, and next action |
| Invoice | Invoice number, linked job number, sent date, due date, customer, balance, status, and collection action |
| Task or event | Type, priority, customer or record, owner, due time, and completion action |
Use the sort control for choices such as name, newest activity, last contacted, recently viewed, sent date, due date, or amount when supported by that record. Invoice filters include Unsent.
Estimate cards use the approved status-header layout: the tinted top band shows the record's real workflow status, while Residential, Commercial, Fleet, Holiday Lights, or another estimate type appears once beside the full address. The overflow button opens an estimate action menu; it does not silently perform the card's primary action.
On Clients and Leads, those sort choices stay collapsed behind the slider control until you open them. This preserves the approved one-row filter layout and keeps compact bordered records, their city context, and right-aligned Call and Text actions visible without removing Recently active, Last contacted, or Name A–Z sorting.
On Lead cards, the complete visible lead number has its own compact line so a long customer name cannot hide it. Pipeline cards show a human assignee name when one is available and never expose an internal UUID as the representative.
The Leads list supports search, stage and assignment filters, and sorting such as name, newest, last contacted, and estimate engagement. A lead is included in Hot when it is new, its estimate has been viewed more than once, or its estimate was viewed within the last 24 hours. The list and pipeline use real lead numbers, full address context, estimated value, and working call/text actions.
Opening a client uses one property-first identity block instead of repeating the customer name. The page keeps Call, Email, Message, Directions, and Create actions together, followed by the next job, open estimate, outstanding balance, activity, and related records allowed by the signed-in user's permissions.
Inbox
Inbox cards are compact enough to show about six conversations on a standard phone. The list and filter sheet follow the approved Filters panel in clean-estimate-mobile-actionable-inbox-compact-v2-2026-07-31.png. Compact Call/Text controls preserve every action and activity line while the sort label uses a separately spaced chevron for quick scanning.
Open the filter button to combine independent categories in one view:
- Reply status: All, Needs reply, or Replied
- Assignment: All team, Assigned to me, or Unassigned
- Channel: Text, Calls, and Email; more than one channel can be selected
- Engagement: Estimate viewed, Invoice viewed, Viewed in 24 hours, and
Viewed multiple times; more than one engagement signal can be selected
- Last outbound: Human reply or Automation
- Priority: Normal or High
Selections remain a draft until Apply filters is selected. Reset clears every category. Save as a view reveals a name field for labeling the active configuration, and the filter icon shows a numeric badge for the active constraints. The named configuration remains attached to the current Inbox screen state; it is not yet an organization-wide saved view that syncs to other devices.
Filters use only activity already returned for the signed-in workspace. Mine matches the stored assignee user ID; channel uses recorded conversation channel; engagement uses persisted estimate/invoice view times and the actual estimate view count. Last-outbound choices match only when the outbound kind is known. High priority is an operational view of a recorded missed call or an unread conversation that needs a reply; it does not write a new priority to the customer record. Missing metadata stays unmatched rather than being invented.
The combined Latest estimate/invoice view sort uses the newest document-view timestamp, while directional sorts keep independent inbound and outbound timestamps. Each card has quick Call and Text actions. Opening a card shows one aligned timeline; system activity notifications use the same full-width horizontal alignment.
The opened conversation preserves the six-tab shell with Inbox active. The header says Hot lead only for a new lead or recent/repeated estimate- view activity; an unanswered thread without that engagement says Needs reply. A Today divider separates the current activity, and customer messages, team replies, and full-width system rows keep consistent alignment.
The estimate context card uses the displayed estimate's persisted view count; it does not add together view events from older estimates in the conversation. A view represents a qualified browser session rather than a unique person. Rapid refreshes, framework retries, and repeated requests within ten minutes remain one session, and Last viewed reflects the latest qualified session.
The selected client record remains the conversation identity even when another client has the same phone number or email address. Inbox loads the selected client's timeline by client ID instead of merging every record that shares a contact value. The header, profile link, messages, internal events, and composer therefore stay attached to the card you opened. Before saving a Text, Email, or Internal note, the server verifies the selected client and contact together; Inbox then refreshes only that client's cached timeline.
Use the external channel control to choose Text or Email from the customer's saved contact methods. Internal note switches the target to Team only and saves private team context into the timeline. The approved composer also keeps paperclip and camera controls visible, but selecting them shows that conversation media upload is unavailable and points users to the related job or estimate record.
Phone
Phone activity uses the same compact-card density. A card can show direction, result, duration, representative, callback/text actions, and the call score. Open the call for the transcript, coaching, next steps, and related tasks.
Blue identifies the active filter and primary phone actions. The four daily totals share one divided white summary card, and answered, missed, and voicemail records use a uniform white bordered row. A score badge appears only when a real call score exists. Missed and voicemail rows say Call Back; other callable rows say Call.
The Phone tab stays in the same fifth position for every role. Effective backend permissions control its contents:
- Without View Phone Activity, the tab shows a clear administrator-controlled
access-off state and does not request call history or call detail.
- With View Phone Activity but without Place Phone Calls, permitted call
history remains visible while Quick dial, callback buttons, and call-detail callback actions are omitted.
- With both permissions, the full dialer and callback workflow are available.
Android voice registration follows the same effective Place Phone Calls permission. A disabled account does not request a voice token in the background. Owner, manager, sales, crew-lead, and technician defaults can all be changed by the organization's saved role-permission overrides without moving the tab.
More Workspace
More puts the most-used business records in a compact Work section: Clients, Leads, Estimates, Jobs, and Invoices. Use the search field above those rows to find any destination in the hub.
The remaining tools are organized into expandable Sales, Operations & Pay, Growth, Business, and Account groups instead of one long settings list. Pipeline, tasks, recurring plans, payments, analytics, workforce, price-book, administration, and account tools stay in the group that matches the work. The available rows depend on role, backend permissions, and whether that workflow has a production mobile API.
Record permissions remain independent. For example, access to Clients does not grant Leads, Estimates, Jobs, or Invoices, and hiding one record type does not remove the others a user is allowed to open.
The complete approved-workspace catalog is connected to live mobile data. Inventory, dispatch, expenses, documents, marketing, administration, account, exceptions, recurring, payments, analytics, and workforce destinations use their dedicated mobile source or the shared organization-scoped workspace endpoint. The selected screen, segment, and filter are sent with generic workspace requests so one category endpoint does not mix views.
These catalog destinations are read-only by default. A screen can navigate to related live views, but it does not expose a write merely because the approved design contains a primary-action label. If the signed-in role or backend permission does not allow the workspace, access still fails closed.
Global search
The compact global search returns only live Clients, Leads, Estimates, and Jobs that the signed-in role may view. Results keep the record type, identity, and useful address or status context visible and open the matching native record. A permission-disabled type is not requested and does not appear in the results.
Payment Collection route
Owners and managers with billing access see both Payments & Transactions and Payment Collection in the Finance section of More. Payment Collection is a stable shortcut into the same live transaction and open-invoice workspace; it no longer opens an unavailable catalog dead end. The shortcut does not bypass Manage Billing, linked-record access, payment settings, or the confirmation rules of the actual invoice collector.
Recurring Plans and Suds Club
More > Recurring Plans & Suds Club is connected to live maintenance-plan data for the selected workspace. It uses the signed-in mobile bearer session and never depends on an admin browser cookie.
- Plans shows the customer, plan status, term, completed visits, and the
monthly charge for plans billed monthly.
- A compact Suds Club callout reminds the team that the membership includes
four visits per year, keeps the customer-facing value monthly, and prompts the rep to look for an appropriate upgrade opportunity.
- Visits shows each real occurrence, service, visit number, scheduled date
or target month, amount, job link, and completion status.
- Exceptions shows paused or draft plans, declined proposals, skipped or
canceled visits, and overdue upcoming visits.
- Use All, Active, and Needs attention to filter whichever segment
is open.
This mobile workspace is read-only. Use the web maintenance-plan workspace to schedule, reassign, pause, renew, or otherwise change a plan or visit.
Analytics
More > Analytics is a live, read-only owner/manager reporting workspace. Every report stays scoped to the selected organization and requires the effective View Analytics permission.
- Switch every report between Today, Week, Month, Quarter, and
Year.
- Open the overview, expanded detail, Lead Sources, Sales Performance, Crew
Performance, Revenue by Service, or Suds Club Analytics without leaving the standard mobile navigation.
- Use report-specific filters such as service module, open/won salesperson
results, crew revenue/completion, service revenue/count, and Suds Club plan status.
- A period with no matching records shows zero metrics and a clear empty state;
it never substitutes sample businesses, people, or revenue.
Mobile Analytics does not export or modify records. Use the web reporting hub for custom date ranges, exports, and deeper administrative reports.
The shared Analytics, Payments, and Recurring workspace filters use a pale-blue selected chip with a dark-blue label and border. The active period or filter therefore remains readable when first opened and after changing selections; the selected state is also exposed to screen readers.
Native Generic Quote
Open Create > Estimate > Generic Quote. The mobile app does not send this workflow to a browser.
- Choose Residential, Commercial, or Holiday Lights for the
pipeline classification, then enter or confirm the customer, phone, email, and full service address. Fleet work uses Commercial.
- Select Add from Price Book to use live services, products, or equipment.
- Select Add Custom Item for a custom service, product, or equipment item.
- Set the description, unit, quantity, unit price, and taxable status.
- Review the customer, line items, tax, customer message, and total.
- Select Save Draft from either the Review header or the bottom action.
- Open a synced draft and select Send Estimate. Mobile opens **Review &
Send before anything is delivered. Choose email, text, or both; review or edit the email subject, email message, and SMS copy; preview the exact delivery; and choose whether to include the PDF. The final Send button then asks for confirmation. After delivery, the same action becomes Resend and opens the same review screen again. Its footer uses Cancel to leave without sending and Send again** to deliver another copy.
Reviewed delivery copy remains attached to its exact queued attempt. If the phone is offline, the app saves that reviewed email/SMS content and sends it when synchronization resumes rather than rebuilding a different default message later.
Residential Suds Club approval
Every eligible residential estimate displays the tenant-priced Suds Club offer on the estimate screen, including its monthly charge, four annual visits, included services, and the signup amount of three monthly payments. Approve & Sign first asks what the customer is approving. The full-screen choice sheet stays inside the phone's top and bottom safe areas, including edge-to-edge Android screens whose modal reports no top inset:
- the one-time estimate;
- the Suds Club membership; or
- both together.
The signed acceptance snapshot records that exact choice. A Suds Club-only approval does not create a one-time job or expose a one-time payment balance. Membership billing remains separate from the one-time estimate total.
The signature review shows Due at approval before the customer signs. For a combined approval, it itemizes the one-time estimate with its tax, the Suds Club signup charge of three monthly payments, and tax on that signup charge. For example, a $400 taxable estimate and a $189/month membership include the $567 membership signup charge in the combined approval amount.
Estimate progress, job dates, and payments
The compact estimate progress strip stays directly below the header. Each dot is labeled Draft, Sent, Viewed, Approved (or Declined), and Paid, so the lifecycle is understandable without opening another card.
Copy to Job opens the native Create and schedule job sheet. Select a Start date and End date for single-day or multi-day work, then optionally set the daily start and end times. The solid blue Create & schedule job button remains fixed at the bottom of the sheet while the fields scroll. Android's system-navigation area is reserved beneath that footer, so the button remains visible on both gesture-navigation and three-button devices. Once Copy to Job succeeds, the estimate's Scheduling section replaces the generic created state with the linked job number, job status, scheduled date, and time. View job opens that exact job record.
Follow up opens an editable AI draft. Choose SMS, Email, or Both, then use the fixed blue Send button at the bottom of the sheet. Regenerate, Copy, and Save as template remain secondary actions above it.
The estimate's Payments & deposits card separates two actions:
- Request creates a secure Card or ACH payment request to share with the
customer.
- Add records a Check or configured Other payment that has already been
received.
In either action, staff first choose the suggested deposit or another payment amount. Deposit collection still requires customer or representative acceptance of the estimate.
Estimate disposition automation
The shared mobile disposition applies to Residential, Holiday Lights, Commercial, Fleet, Asphalt, and Generic Quote estimates.
- Draft → Pending: automatic after delivery succeeds. A failed delivery
does not falsely advance the estimate.
- Pending → Pending: opening the customer proposal records the view but
keeps the disposition Pending.
- Draft/Pending → Approved: automatic after customer signature, or when a
representative explicitly approves the estimate.
- Approved → Won: automatic only after Copy to Job succeeds and the job
is linked.
- Pending → Declined: automatic after a customer decline; a representative
can also choose Declined manually.
- Draft/Pending → Archived: automatic when the configured expiration date
passes. A representative can archive earlier when appropriate.
When a customer accepts one residential one-time package, the other unselected package mirrors are archived. A Suds Club maintenance offer is not treated as a rejected alternative: it remains independently selectable because the customer may accept both one-time restoration work and recurring care.
The live unified price book is the primary catalog. If the device cannot reach it, the builder can use the last verified residential service catalog stored for that workspace. The fallback does not invent product or equipment types.
Mobile estimates save as resumable drafts on the device first, then queue an authorized write to the shared Estimates workspace. If the phone is offline, the quote appears in Proposals immediately from the device's local copy. Returning to Proposals refreshes local drafts from every estimate builder, even when the earlier list is still cached. The draft syncs when a connection is available. While offline, Proposals skips the server refresh so local work does not wait on a network timeout. If a background refresh later fails, the last cached estimate list remains visible instead of being replaced by an error. Open the draft from Proposals or the dashboard to keep editing, or open the synced estimate to review and send the customer-facing quote. On the Review screen, both Save Draft controls perform this same durable save and open the quote from Proposals; neither leaves a device-only snapshot behind. When the phone is already online, adding the queued draft starts synchronization immediately instead of waiting for a network change or app restart. After the server assigns the workspace's estimate number, both the quote mirror and the canonical estimate use that same number.
