Configure the three tip choices and alternate payment methods shown during mobile collection.
Payment Collection
Use Settings > Payment Collection to control the choices your field team sees when collecting invoice payments in the mobile app. Settings are saved for the current workspace, so crews in another workspace keep their own choices.
Configure Tip Choices
The customer-facing tip screen always contains exactly three configured choices plus No tip. For each configured choice:
- Select Percentage or Flat amount.
- Enter the value.
- Repeat for all three choices.
- Click Save payment settings.
Percentage tips are calculated from the invoice's taxable amount. Flat tips add the exact configured dollar amount. No tip is always available and cannot be removed. The three paid choices must be unique and greater than zero.
Example configurations include 10% / 15% / 20%, or $10 / $20 / $30. Percentage and flat choices can also be mixed.
Configure Other Ways to Pay
The standard mobile payment choices remain Card, Cash, and Check. The separate Other choice opens only the alternate methods enabled here, such as Zelle, financing, ACH, bank transfer, Venmo, Cash App, or PayPal.
Select at least one alternate method before saving. A mobile collection records the selected method's name in payment history and on the receipt when one is sent.
How Changes Reach Mobile
Mobile users receive the saved workspace settings when they open an invoice or job payment screen. If a manager changes a choice while a crew member already has that screen open, the server refuses an outdated or altered selection. The crew member should reopen the payment screen and use the current choices.
Estimate payment behavior is global application behavior rather than a per-user display setting. Every estimate family uses the same Request, Card, Check, and Other workflow. Workspace configuration still controls permissions, enabled alternate methods, deposit rules, Stripe connection, and tenant-priced programs such as Suds Club.
Deposits After Quote Approval
On the standard estimate approval flow, the customer signs the quote before CE Pro asks for a deposit. A missing or pending deposit does not undo the approval. Legacy fleet and commercial proposal pages remain sign-only; the office collects their deposits from the linked estimate or invoice.
The quote's validity deadline controls whether an unanswered quote can still be accepted. It does not cancel an approval already on file. An accepted quote continues to show its payment status and available deposit actions after that deadline.
When the signed quote contains a supported payment schedule, the customer can:
- Pay online by card or US bank account.
- Choose check, cash, Venmo, bank transfer, money order, or another
office-approved method.
- Leave the deposit pending and return later.
An offline choice is a payment plan, not a received payment. CE Pro labels it Deposit pending and keeps it out of paid totals, revenue, receipts, refunds, and voids. An owner or teammate with billing permission records the actual amount, method, and safe reference after the money arrives. CE Pro timestamps the entry automatically.
Recording that payment closes the pending request. If the office records the deposit while a customer has an online payment form open, CE Pro cancels that older payment session before applying the office payment.
Deposit amounts come from the accepted quote snapshot. A residential estimate uses the standard 25% residential deposit, while Holiday Lights and selected proposal options use their saved percentage or fixed amount. If a commercial, fleet, generic, or Holiday Lights quote has no structured payment schedule, CE Pro approves the quote without inventing a deposit and leaves collection to the office.
During a rolling deployment, a workspace without a saved configuration safely uses 10% / 15% / 20% and Zelle, financing, ACH, and bank transfer until an owner or manager saves its preferred settings.
Who Can Manage These Settings
Owners and managers with Settings access can view and update payment collection settings. Sales representatives, crew leads, and technicians can read the non-sensitive choices in the mobile app, but cannot change the workspace configuration.
